Record how the sale was settled
A part payment records the amount received now and leaves the remaining balance due. A credit sale records no immediate payment and leaves the full eligible amount outstanding.
Collect and review later
Debtor records and customer history help authorised users review what remains due and record later collections. Payment reports count money actually received rather than treating an unpaid balance as cash.
Preserve customer evidence
Receipts and transaction history can show payment status, amounts paid and remaining balances. Businesses should select the correct customer and follow their own credit approval procedures.
Follow the balance from sale to collection
A retailer or wholesaler offering credit needs a consistent customer record. Select the correct customer before the sale, record the amount received and check the outstanding balance on the transaction. When the customer returns to pay, record the collection against the debt rather than creating another sale. Review customer history when resolving a question about what was paid. The system supports the recordkeeping; your business still decides who may buy on credit, how much credit is allowed and how to follow up overdue balances.

Count all users, including the owner, and confirm the branch capacity you need. Preparing names, opening quantities and balances before setup helps keep your first records consistent. Reconcile balances before following up
Prepare opening customer balances carefully and keep the original supporting records available. Review a sample customer with more than one transaction so staff can distinguish the sale from a later collection. If a customer disputes a balance, use transaction history and receipts to investigate before changing records. Choose who may collect or adjust debts and who reviews outstanding balances. A reminder or collection policy belongs to your business; do not assume that recording debt automatically contacts the customer, enforces payment terms or recovers the money.
